Overview
We are seeking an experienced and highly motivated Administrative Assistant to support a fast-paced team of approximately 130 employees, including senior executives. This is a high-visibility role offering exposure to leadership, a wide variety of responsibilities, and strong opportunities for professional growth.
The ideal candidate is proactive, organized, and capable of managing multiple priorities in a dynamic environment.
Key Responsibilities
- Provide comprehensive administrative support to a large, high-performing team
- Manage complex calendars for senior leaders, including scheduling meetings and coordinating availability
- Prepare and process expense reports accurately and in a timely manner
- Coordinate meetings, conferences, and team events
- Handle communication tasks including answering phones, managing email correspondence, and liaising with stakeholders
- Maintain records, files, and documentation systems
- Order and manage office supplies, and assist with mail distribution
- Support special projects, including:
- Data collection and reporting
- Information compilation and analysis
- Presentation preparation
- Ensure high-quality service and responsiveness to internal clients
- Contribute to a collaborative team environment by supporting various administrative needs
Qualifications & Skills
- Proven experience providing executive-level administrative support
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Exceptional organizational and multitasking skills
- Excellent verbal and written communication skills
- Ability to prioritize work and manage competing deadlines in a fast-paced environment
- Strong attention to detail and problem-solving skills
- Demonstrated customer service mindset
- Ability to work with minimal supervision and take initiative
- Experience supporting large teams or complex organizations is an asset
- Proactive, adaptable, and comfortable managing complexity
- Strong interpersonal skills with the ability to work across all levels of the organization
